TERMS & CONDITIONS (T&Cs)

These T&Cs are in the nature of a contract between you (delegate) and the company. By registering for the conference you agree that you have read and accepted these T&Cs and agree to be legally bound by the T&Cs.

1. INTRODUCTION

1.1 People Matters Media Pvt. Ltd. (“the Company”) is a company which has its registered office at #944, Block C, Sushant Lok 1, Gurgaon, Haryana - 122001 Gurgaon, Haryana - 122009.

1.2 The Company organizes conferences and events in India and abroad. These conferences and events draw participation from delegates, attendees, volunteers and sponsors from all over the world.

1.3 These T&Cs set out the contract between the Company and the delegate. Where an organization nominates its employee(s) to attend the Conference, the organization will be considered to be the delegate/party to this T&C.

2. PARTICIPATION IN CONFERENCES

The following terms apply to persons who participate in the Conferences as delegates/attendees:

2.1 Registration and payment of fees

If You choose to participate as a delegate at the conference then you agree to pay the applicable fees for the same as specified on the Website (“Fees”). Upon successful payment of an applicable fee, you shall be issued a “Pass” to attend and participate in the Conference as a Delegate. The Pass shall be e-mailed to you on the e-mail address provided by you at the time of registration. The Pass is non-transferable/ non-assignable to a third party.

2.2 Refund / cancellation policy

  1. All requests for cancellation of any pass must be submitted by email 30 days before the conference date. Refund will be made against cancellation request only if they have made within the following timelines:
    Receipt of cancellation request Refund*
    30 days prior to the date of the relevant Conference After deducting admin & bank charges
    Within 30 days of date of conference Nil
  2. The refund of fees will be made after deducting applicable admin and bank charges borne by us against your registration. No refund will be made if cancellation is not made within the specified timeline.
  3. If a tax invoice has been raised, then the participant(s) will have the option to waive off the conference fee with any future event conducted by the Company.

2.3 Conference Materials

  1. All literature, books, content, etc. provided to you in relation to the Conference (“Conference Materials”) are provided to you on an “as is” basis and we give no warranties, representations or guarantees in relation to the same.
  2. You acknowledge and agree that, unless otherwise expressly stated, we own all intellectual property and other rights in all Conference Materials. You shall not, and shall procure that the delegates shall not, disclose, distribute or use the Conference Materials except in relation to participation at the Conference.

3. ADDITIONAL TERMS & CONDITIONS

3.1 Change and cancellation of the conference

he Company may at any time, with giving notice along with appropriate reason can change, cancel or postpone the Conference, change its venue or any of the other published particulars, or withdraw any invitation to attend. We will notify you of any postponements, or changes as soon as practically possible by keeping our website updated with the latest information.

In this case, the company will return the full participation fee paid to them in connection with the Conference, if participants would like to withdraw the candidature. Other than that, neither the Company nor any of its officers, employees, agents, members or representatives shall be liable for any loss, liability, damage or expense suffered or incurred by any person related to the conference.

3.2 Force Majeure

The Company shall not be held responsible for any delay or failure in performance of its obligations hereunder to the extent such delay or failure is caused by fire, flood, strike, civil, governmental or military authority, acts of God, acts of terrorism, acts of war, epidemics, the availability of the Venue or other similar causes beyond its reasonable control and without the fault or negligence of the Company or its subcontractors. For one or more of such reasons, the Company may postpone, reschedule or cancel the event without liability on the part of the Company. In the event the conference cannot be held or is postponed pursuant to this section, the Company shall not be liable to any person for any damages, costs, or losses incurred, such as transportation costs, accommodations costs, or financial losses.

3.3 Privacy Policy

All personal or other information provided by You will be used in accordance with the Privacy Policy as displayed on the Website of the Company. By submitting registration details, delegates agreed and share his/her consent to allow the People Matters to share this data (User’s name, address, telephone number, e-mail address, Company, designation etc.with other parties/service providers involved in the conference for promotions or other purpose.

3.4 Photography audio and video recording

The use of photographic, audio, video or other recording equipment is prohibited at the Conference. If You wish to use any photographic, audio, video or other recording equipment at the Conference, you must obtain our prior permission in writing. By attending the Conference you acknowledge and agree that You may be photographed or your presence may be recorded by us or our partners or any third party licensed by Us, to use, distribute, broadcast, or otherwise globally disseminate your name, voice and words in perpetuity in television, radio, film, newspapers, magazines, and other media now available and hereafter developed, both before, during and any time after the Conference, and in any form, without any further approval from you or any payment to You. This grant includes, but is not limited to, the right to edit the media, the right to use the media (along or together with other information), and the right to allow others to use or distribute the media.

3.5 Termination of participation

We reserve the right to terminate/ refund/ reserve your participation at the Conference immediately, if, at any time after your registration for the Conference and/or during your participation as a delegate/volunteer/ sponsor at the Conference, We observe that your behavior:

  1. disrupts, hinders or causes a nuisance or is likely to disrupt, hinder and cause a nuisance at the Conference or to the participants at the Conference; or
  2. represents a security or health and safety threat to the Conference or to any participant at the Conference; or
  3. violates these T&Cs.
  4. If the allocated number of passes for the specified category/industry/segment is no more available

In case of termination of your participation for the reasons mentioned above except “d”, We shall have no liability/obligation towards refunding the Fees paid by you for participation in the Conference.

3.6 General obligations

  1. You agree to comply with all applicable laws in connection with Your attendance and participation at the Conference.

3.7 Insurance

You are expected to obtain your own insurance cover at your own cost in connection with your attendance and participation at the Conference. We shall not be liable for any injury or damage caused to you or your property at the Conference.

3.8 Visa requirements

In case you require an Entry Visa to attend the Conference, then it shall be Your sole responsibility to procure such an Entry Visa at your own cost. In the event that You do not receive the Entry Visa in time for You to attend the Conference, We shall be under no obligation to refund the Fees to You unless you avail the option of canceling your ticket with in 30 days prior to the conference, in accordance with Our Refund / Cancellation Policy. Further, the Company assumes no liability for any costs including transportation, hotel reservations or any other costs incurred by the participant(s) in connection with their attendance or participation at the Conference.

3.9 Warranties

To the extent permissible under applicable law, we disclaim all warranties or conditions, either express or implied, in respect to any aspect of the Conference or any material related thereto. You acknowledge and agree that in accepting these T&Cs you have not relied on any representation or warranty that is not expressly included in these T&Cs and you agree that you shall have no remedy in respect of any misrepresentation which is not a part of these T&Cs.

3.10 Limitation of liability

  1. 10.1 We do not accept any responsibility or liability for the views expressed by the Speakers at the Conference or any advice given by them at the Conference or the material shared or distributed by them at the Conference. The materials shared or distributed at or in connection with the Conference is intended for information purposes only and should not be relied upon by Your or others. We do not accept any liability for reliance by You or any other person on any aspect of the Conference and/or any information provided at the Conference.
  2. 10.2 In case We are held liable for any damages under applicable law, then Our liability shall be limited to and shall not exceed the Fees paid by You at the time of registering for the Conference.

3.11 Modifications / alterations

We reserve the right, at Our sole discretion, to change, modify, add or remove portions of these T&Cs, at any time without any prior written notice to You. It is Your responsibility to review these T&Cs periodically for updates/changes. For certain changes, We may be required under applicable law to give You advance notice of any change(s) to the T&Cs. Once you register for a conference you shall be bound by the T&Cs or any amendments thereto.

3.12 Indemnity

You agree to defend, indemnify, and hold Us and our affiliates, and our respective employees, contractors, agents, officers, and directors harmless from all claims, liability, damages, losses, costs, and expenses, including legal fees, that arise out of or are related to any breach of the T&Cs by You or any other liabilities incurred by us arising out of Your attendance or participation at the Conference.
